Match the quotation, packing list and crate photos before the balance is paid. This is not destination incoming inspection of damage or nameplates.

In this guide5 sections

A Portable Generator Kit Check binds the quotation, the packing list and open-crate photographs to one SKU before the balance is paid. A generic “generator” line or a catalogue hero photo is HOLD. This page is not destination receiving of damage, serials or nameplates.

Freeze the quoted kit before the balance is due

The quote must name more than the machine: revision, wheels, handles, plugs or cables, manual language, tools and any promised first-order spares. If a line is missing, write the exclusion before you treat the offer as complete.

How those files are bound before you order is on documents before order. Nameplate discipline for import and resale is a neighbour page on nameplate import.

Three columns that must name one kit: quotation, packing list and crate photos
One mismatch holds the balance. The split is identity control, not a packing promise.

Match packing-list lines to crate photographs

The packing list must repeat the same revision and the same kit lines, with quantities. A generic “generator” row that does not match the quote is HOLD.

Ask for open-crate stills of each promised loose item before the balance is released. A studio photograph of another panel, or a closed carton, does not close a line.

Factory pre-shipment answers a different question: may this configuration leave the plant? That neighbour task is the pre-shipment inspection checklist. Promised spares, once the kit is written, sit on spare parts with the first order.

Vertical timeline from freezing the quoted kit to releasing the balance
Balance release is the last step. Destination receiving is a later page.

Keep this check apart from destination receiving

Kit identity before payment is not the dock walk that photographs seals, wet marks and the arriving nameplate. That later warehouse gate is incoming inspection. A clean kit-photo pack does not waive receiving. A receiving pass does not reconstruct a kit that was not frozen.

Do not energise the set to “prove” the kit. A no-load start does not show missing wheels, a wrong-language manual or a substituted plug bag.

Kit HOLD table

Field Passes HOLD
Quote kit Revision, wheels, plugs, files and spares named “Generator” line only
Packing list Same SKU and same kit quantities Generic packing list
Crate photos Each promised loose item visible Catalogue hero only
Balance Photos and list accepted before payment Balance paid on a promise
Scope Pre-balance kit identity Destination damage / nameplate receiving
Exclusions What is not in this crate Assumed complete kit
Checklist rows for frame, outlets, manuals, tools, promised spares and exclusions
Rows are a pre-balance gate, not a dock damage log.
Workshop cartons and a generator panel, visual context only
Workshop photograph for visual context only. It does not replace the quotation or packing list.

What to send with the request

Send every supplier the same pack: destination market, target SKU or family, voltage, frequency, quantity, the kit lines you expect, the language of the manual, and that you will release the balance only after packing-list and crate-photo bind.

Ask them to return the packing-list template, open-crate photo set, file list, serial convention and what is excluded. Start from the gasoline generator category. Kit contents are confirmed only on the named configuration through the project form.
